1. General
Booking with Educational Travel Center Co. Ltd (ETC Travel) implies agreeing and complying with our Terms & Conditions
ETC Travel will do everything reasonably possible to provide the Customer’s tour itinerary as planned but we reserve the right to alter itineraries, transport and/or accommodation in special circumstances and due to local conditions and safety reasons. However the essential concept of the tour be well maintained
2. Payments
Our prices are quoted in Euro/ USD / THB and, unless otherwise specified, inclusive of applicable government taxes & services charges.
In the event of tax changes, fuel costs increase or major fluctuations of the exchange rates, we reserve the right to alter the rates accordingly.
Prices are net and no commissionable.
All services are on prepayment basis. Full prepayment in indicated currency must have been received no later than 30 days before the beginning of the trip in our bank account, unless another written agreement has been made. Failure to do so may result in the cancellation of the reservation(s).
Our prices are net and not inclusive of any bank charges (including charges incurred by intermediary banks). Please make sure that such charges are added to the amount to be transferred to us so that our bank receives the full value of the invoice without deductions.
3. Booking Policy
ETC Travel will not do any reservation and will not hold any space until we have received a written confirmation from your side to proceed with the booking.
Our proposals are valid for 15 days unless otherwise specified. After this period we reserve the right to revise our prices.
A final rooming list is expected to be received together with the booking.
4. Train ticket reservation conditions
There are no tour operator rates for train bookings, therefore our ticket prices have our service charge added.
We cannot secure a seat reservation on trains without purchasing the ticket and we will be able to do that only after the payment or deposit has been received.
It is possible to change the date of a train ticket one single time. Change fee: 10% of the ticket price.
No changes of routing or class are allowed (in this case it will be necessary to buy a new ticket).
The fee for cancelling a train ticket is 100% of the price.
Train tickets can be purchased only 60 days prior to the date of travel. For bookings that involve a train journey and made more than 60 days in advance, our confirmation will apply only to hotel and tour services, not train reservations. When reaching 60 days in advance of the train journey we will make the required train reservations and give final confirmation of all services.
For group bookings in trains we always try to get seats for the whole group together in the same compartment but this cannot be guaranteed.
5. Children policy
Children and infant discounts will be applied when travelling with at least 2 full paying adults.
Children aged 0-2 years are free of charge, if sharing the existing bedding with parents.
Children aged 3 – 11 years are subject to 75% charge from adult rates if sleeping in extra bed. (Maximum 1 extra bed per room).
Children requiring their own rooms will be charged as adults.
A maximum of two children per party (family) is granted for such discounts.
Children aged 12 years up are subject to adult rates.
6. No show and cancellation policy for packages
If notification of cancellation is received 30 to 16 days prior to the beginning of the program there will be a cancellation fee equivalent to 50% of normal rate.
Cancellation within 15 days prior to the beginning of the program and No-shows will be subjected to full charge.
Once a package has commenced there will be no refund for any unused services should a client not complete the package.
For some arrangements, a non-refundable deposit may be required in order to confirm the booking.
Although we will try our best in case customers need to change dates for any services, these changes may be considered as cancellations and the above mentioned conditions will apply.
If number of participants decrease, cancellation policy will be applied and we reserve the right to revise the rates for the remaining participants according to the final number of customers attending the tour.
During high season, and some local holidays, cancellations received less than one month prior to commencement of the service may be subject to higher charges, possibly up to 100%. Where applicable these charges will be advised at the time of cancellation.
Since some suppliers (hotels, transport companies etc) have cancellation policies that may be different from those of ETC Travel, the cancellation charge may, at ETC Travel’s discretion, be adjusted accordingly.
This cancellation policy will apply for all FIT and GIT packages unless otherwise mentioned.
These conditions may not appy for flight tickets as they have different conditions according to class, airline etc. Please request the specific conditions for flight tickets when booking.
7. Inclusions and exclusions in our packages (unless otherwise mentioned)
INCLUDED:
Accommodation and daily breakfast at the hotel.
Transport (private, shared or public) as indicated in the program.
Professional, English speaking tour guide.
Pick up and drop off at hotels in city areas only. For other locations a surcharge will be applied.
Meals as indicated in the program. B: Breakfast, L: Lunch, D: Dinner
Admission fees for all visits indicated in the program.
EXCLUDED:
All International & Domestic flight tickets.
Domestic tourism taxes and airport taxes.
Personal expenses i.e. laundry, telephone billing, tipping, etc.
Beverages and meals not specified in the itinerary.
Visa and Medical insurance.
Optional tours and tips.
8. Other conditions
Single Supplement-charge will be added to package rate for single occupancy room bookings.
Our package rates apply for double and triple occupancy in a room.
For triple occupancy: There are practically no hotels/resorts, with standard triple rooms in their inventory, therefore an extra bed (rollaway) will be provided for the 3rd person. This may limit the space within the room.
Check in time 14:00h (in some hotels 15:00h). Check out time 12:00 noon.
Some programs include local means of transportation to give your guests a maximum feeling of ‘Thai-ness.’ Quality and safety of such transport follows the local standards and is beyond our control and responsibility. Our tour guide is present to avoid clear unsafe situations, would these arise.
Any compulsory dinner surcharge from the hotel will be charged, rates to be advised during our booking confirmation.
ETC Travel strongly recommends to all customers to contract a comprehensive travel insurance covering medical emergencies (accident or sickness) before commencing the trip.
9. Liability & Force Majeure
Educational travel Center Ltd. acts as an intermediary between the hotels, all transport operators, airlines, local tourist offices and other service providers. Therefore ETC Travel is not responsible and shall not be liable for any injury, loss, illness, accident, expenses or damage resulting from the client’s participation in any of its services provided (tours, transfers, activities and touring programs) as well as those occurring outside the touring programs.
Additional expenses incurred due to delay, accidents, natural and disaster, political actions and unrest must be borne by the tourists.
Force Majeure is defined as Acts of God, natural disasters, adverse weather conditions, fire or other destruction of any vessel, craft or vehicle to be used in connection with a holiday, destruction or damage to holiday accommodation, riots, acts of war, civil commotion, exercise of legislative or government action, municipal or military or other authority, strikes, industrial action, requisition of equipment, mechanical breakdown, shortage of fuel, insolvency or default of any carrier or service connected with the tour, fraud perpetrated against the Company.
If as a consequence of “Force Majeure”, ETC Travel is obliged to curtail, alter, extend or cancel the services of a tour, customer shall not be at liberty to maintain a claim for compensation or for any loss arising as a consequence of the mentioned curtailment, alteration, extension or cancellation of the tour.
Participation in our tours implies the tourists’ agreement to the above conditions.
